Guest registration outside Italy
What InnBeds does and what remains your job in the main European countries.
Steps: 5Time: 10 minutesYou need: the rules of your local authority (police, municipality or region)
In Italy, InnBeds sends guest data to the police and prepares ISTAT statistics and tourist tax. Other countries have different rules: InnBeds collects the right data with online check-in and prepares your guest register, but you submit it to the authority yourself.
Set the property country
In Amministrazione → Strutture → Configura (Administration → Properties → Configure) choose the country: online check-in automatically asks for the data required there.
Have guests complete online check-in
The link goes out with the automatic pre-arrival messages. Guests enter the details for the whole group on their phone.
Check the register
In Adempimenti → Registro ospiti (Compliance → Guest register) you see arrivals and departures, with missing data highlighted.
Print or export
Download the register (CSV) or print the registration card for guests to sign where a signature is required.
Submit to the authority
Upload or send the data on your authority's portal within the deadline.
The main rules, country by country
- Spain: parte de viajeros on the Ministry of the Interior's SES.HOSPEDAJES platform within 24 hours of check-in, with guest and booking data (including payment). Catalonia and the Basque Country use the Mossos d'Esquadra and Ertzaintza systems.
- Portugal: boletim de alojamento on the SIBA portal for foreign guests, within 3 working days. Portuguese guests go into the property's guest book.
- Germany: Meldeschein only for guests without German citizenship (no longer required for Germans since 1 January 2025), signed by hand on the day of arrival, with an ID document shown; kept for one year.
- Austria: Gästeverzeichnis (electronic, or sheets certified by the municipality) for all guests, within 24 hours of arrival; for foreigners also type, number, issue date and issuing authority of the ID document; the guest must sign.
- Switzerland: cantonal rules. Usually a Meldeschein for every guest, often transmitted online to the cantonal police; the federal government is preparing a single digital solution.
- United Kingdom: a record of all guests aged 16 and over with full name and nationality; for foreign nationals also passport number and place of issue and the next destination. Kept for 12 months.
- Netherlands: nachtregister following the municipality's model (name, place of residence, type of ID, number of people, arrival and departure dates), often in a digital system chosen by the municipality.
Warning. These rules are up to date as of November 2026 and may change, also from region to region or municipality to municipality. Always check with your local authority. Outside Italy, InnBeds does not transmit data to the authorities.
